Welcome to FlexiCal ("we," "us," or "our"). We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, our mobile application (the "App"), and our services (collectively, the "Services").
1. Information We Collect
We may collect information about you in a variety of ways. The information we may collect includes:
A. Personal Data You Provide to Us
- Account Information: When you register, we collect your email address and password. You may also provide a name and profile picture.
- Household Information: If you use Family Mode, we collect information you provide about your household, including a household name and information about family members (such as names, roles like "Guardian" or "Child," and profile avatars).
- User Content: We collect all information you add to the app, including event titles, descriptions, dates, times, locations, notes, tasks, checklist items, and meal plan entries.
- Payment Information: For subscription purchases (web), we use Stripe, which collects your payment information. For in-app purchases (iOS/Android), we use RevenueCat, which processes payments through the Apple App Store or Google Play Store. We do not store your full credit card information, but we may store subscription history.
- Feedback and Support: If you contact us for support or submit feedback (e.g., via the "SuggestionBox"), we collect your email address and the content of your message.
B. Data We Collect Automatically
- Usage Data: We automatically collect usage information, such as the features you use, actions you take, and usage counts for AI features (e.g., AI Extractor runs, AI Chat messages). This is collected via Firebase Analytics.
- Crash and Performance Data: We use Firebase Crashlytics to collect information about crashes and performance issues to improve the app.
- Device Data: We may collect information about your device (e.g., App ID, device model, OS version) via Capacitor plugins and Firebase.
C. Data Collected from Third Parties
- Google Sign-In: If you sign in with Google, we receive your basic profile information (email, name, profile picture) from Google.
- Google Calendar: If you connect your Google Calendar, we access your list of calendars. For the calendars you select to sync, we read your event data (titles, times, descriptions, locations) and use webhook notifications to keep them up-to-date. We do not create, edit, or delete events on your Google Calendar.
2. How We Use Your Information
We use the information we collect to:

3. Use of AI and Data Processing
Our app uses third-party AI models (e.g., Google's Gemini API) to provide intelligent features. To do this, we may send certain data to these services. This includes:
- AI Extractor: When you upload a file (image or PDF), the file's content is sent to the AI for analysis to extract events or list items.
- AI Chat: Your chat messages are sent to the AI to generate a response.
- AI Meal Planner: Your preferences (cuisines, diet, budget) and meal titles are sent to generate meal plans and find recipe links.
- AI Grocery List: The meal titles from your plan are sent to the AI to generate an ingredient list.
- AI Logistics Helper: Event titles and locations are sent to the AI to classify the event and suggest relevant links (e.g., tickets, reservations).
We do not use the content you provide to these AI services to train their models. We handle this data in accordance with our agreements with our AI service providers.
4. How We Share Your Information
We do not sell your personal information. We may share your information as follows:
- With Linked Households: If you use the Household Linking feature, members of the linked household will be able to see shared events, shared lists, and the names/avatars of members you have designated as "shared."
- With Service Providers: We share data with third-party services that perform functions on our behalf, including:
- Google (Firebase, Google Cloud, Google AI, Google APIs): For database, storage, authentication, analytics, AI processing, and calendar sync.
- Stripe: For processing web-based payments.
- RevenueCat: For managing in-app subscriptions and purchases from Apple and Google.
- Open-Meteo & Nominatim: For fetching weather and geocoding data.
- For Legal Reasons: We may disclose information if required by law or in response to valid requests by public authorities.
5. How We Store and Secure Your Data
We use Firebase (Firestore and Firebase Storage) to store your app data. We rely on Firebase's robust security measures to protect your data. While we take reasonable steps to secure your information, no system is 100% secure, and we cannot guarantee the absolute security of your data.
6. Your Data Rights and Choices
- Account Information: You can review and update your name and avatar within the app's Settings.
- Google Calendar Sync: You can disconnect your Google Calendar at any time from the 'Sync & Import' settings.
- Data Deletion: You can request the deletion of your account and associated data from the 'Data & Privacy' section of the app settings. This will remove your personal data and, if you are the last guardian, will delete the entire household's data.
7. Children's Privacy
Our app allows "Guardians" to create "Child" profiles for organizational purposes. Guardians are responsible for managing these profiles. We do not knowingly collect personal information from children under 13 (or the relevant age in your jurisdiction) without parental consent. If you are a parent or guardian and believe we have collected information from your child without your consent, please contact us immediately.
8. App Tracking (iOS)
We do **not** "track" you as defined by Apple. We do not link your user data with data from other companies' apps or websites for advertising purposes. The analytics we collect are for first-party use only, to improve our app's functionality and fix bugs.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy in the app and on our website. We encourage you to review this policy periodically.
